When you should use Entire job for SharePoint
An entire job covers all SharePoint job sites within your Microsoft 365 tenant, ensuring data is included without the need to specify each site individually. This reduces the risk of missing critical data, and reduces the administration of managing individual permissions, and backup configurations. Furthermore, you will not have the need to manually update the backup job when new sites or users are added to your organization.
Steps to set up an Entire SharePoint job
Access the Anycloud backup for 365 portal.
Create a new backup job by clicking on "+ New backup job" and select "Entire". Choose SharePoint, and choose whether you want personal SharePoint included, or not. Next decide a starting time for the job and choose the desired retention period.
Once the Entire SharePoint job has been created, access the job info of the job by clicking the magnifying class in the info tab.
From here, you can add group exclusions to the job. In case you have a group of users you do not wish to have backed up, likewise with SharePoint backup, you can choose to exclude specific sites or Personal SharePoint sites.
For organizations who don't have complex setups in 365, Anycloud always recommend utilizing the "Entire" option for SharePoint, and in general for all other products as well.
SharePoint Group backup
In case you want to set up a SharePoint Group backup job, it is important to ensure that the necessary permissions are granted to users/accounts involved in the backup. Proper permissions make sure that all intended SharePoint sites are included in the backup, without the need to add them individually.
Here are the recommended permissions that Anycloud advises to assign to users included in the backup. It iscrucial that these users have the appropriate permissions for their accounts and SharePoint sites to ensure they are included in the backup.
Global Administrator
Role: This role has access to all administrative features across Microsoft 365 services.
SharePoint Administrator
Role: Manages SharePoint Online settings, site collections, and sites.
Full Control Permissions on Specific SharePoint Sites
Role: Users with Full Control have access to all features of a SharePoint site.
Steps to set up a Group SharePoint job
Access the Anycloud backup for 365 portal.
Create a new backup job by clicking on "+ New backup job" and select "Group". Next, select the groups you want to back up.
Select the starting time of the job.
Choose a name of the job and select the desired retention period.
At last, check the products you want to have backed up with the Group backup job.
What is Personal Sharepoint, and when would you use personal SharePoint backup
Personal SharePoint site backup might be used when specific users need to ensure that their personal documents and tasks are backed up. It is important to consider whether these personal sites contain critical data that needs to be protected. In many cases, personal sites do not contain important company data, so it might not be necessary to back them up with your SharePoint backup.
