Management Portal
Management portal 3.4.6 We have introduced additional restore rights in the user settings. Now, you can configure a user with restore roles so they can restore data back to the tenant without being able to download it. This enhancement improves security by ensuring that sensitive data cannot be downloaded, benefiting organizations that need to strictly control data access and prevent unauthorized data extraction. 12 December 2024 Management portal 3.4.6 The portal user page has been redesigned to enhance usability and improve the user experience. The new design includes: - Organized tabs: The user list and individual user settings are now organized into tabs for an easy navigation. - Intuitive toggle buttons: The dropdown menus have been replaced with toggle buttons, providing a more intuitive way to toggle "on" and "off" options. These toggle buttons will soon be implemented across all areas where drop downs were previously used for this functionality. - A new field: "Account expires": Keep track of temporary users with a new field displaying the account expiration dates, ensuring you stay informed about upcoming deletions. 12 December 2024 Management portal 3.4.5 You can now request a retention change directly from the portal with a simple click. A new button, located under the job list, facilitates this process. This approach helps avoid duplicating users when jobs are deleted and recreated. Additionally, there is no longer a need for a full re-upload of data to the repository, making the transition to the new retention period much smoother for customers. Please note: Selecting a lower retention period will immediately delete any data exceeding the newly selected retention period. For your convenience, all retention change requests are logged in the customer log and automatically generates a support case in the ticketing system. 10 December 2024 Management portal 3.4.5 We now offer a full range of retention periods tailored to your needs: Choose from 1, 2, 3, 5, 7, 10, and 25 years. Previously, only non-Arrow customers had access to the complete selection. 10 December 2024 Management portal 3.4.4 26 November 2024 Feature added: The large, full-page storage graph has been updated to display only 100 data points, providing a cleaner and more streamlined look for customers who have been active for over 100 days. Previously, customers with 1,000+ data points faced rendering issues. Additionally, a new feature has been added: a box within the graph showing the latest (highest) GB count for quick reference. The export as CSV still exports the full amount of data points. Management portal 3.4.4 26 November 2024 Feature added: The small "Storage" graph on the dashboard has been redesigned. It now displays only the first and last data points, along with 8 additional points in between. The Y-axis has been improved to prevent overflow text-issues for customers with large storage quantities. The dates on the X-axis have been removed and are now displayed in the hover-over box. The icon for displaying the full page has been updated with a new design. Management portal 3.4.4 21 November 2024 Feature added: We now provide support in the most commonly used languages among our customers: English, Italian, German, French, Spanish, and Portuguese. For tickets submitted in languages other than English, we utilize advanced AI translation to seamlessly translate the text both ways. This ensures that customers can easily create and understand support tickets in their preferred language. When replying and creating tickets a new text highlights this option is displayed. Management portal 3.4.4 20 November 2024 Feature added: A new support system has been introduced to the portal, enabling customers to access support from us more quickly and efficiently. In partnership with Arrow ECS, we have streamlined the process by eliminating "middle men", allowing customers to communicate with us directly through the portal. Management portal 3.4.3 13 November 2024 Feature added: The storage statistics page graph (not the smaller one on the front page) has been significantly enhanced. The design has been updated, and you can now pan and zoom within the graph using a touchpad or mouse. Additionally, CSV export performance has been greatly improved for faster data retrieval. Management portal 3.4.3 30 October 2024 Feature added: The "Accounts in Backup" tab has been upgraded to the new table format. Management portal 3.4.3 29 October 2024 Feature added: A new table display system, that introduces live and very fast filtering across all fields as you type, has been implemented in the portal, and it will gradually replace all existing table lists. Management portal 3.4.3 29 October 2024 Feature added: A new date format setting is now available on the customer page under the Settings tab, allowing the default date display to be customized to one of the following formats: • MM/DD/YYYY = 10/29/2024 • DD/MM/YYYY = 29/10/2024 • YYYY-MM-DD = 2024-10-29 • DD.MM.YYYY = 29.10.2024 This setting adjusts how dates appear in tables within the portal but applies only to the new table types mentioned above. External communications, such as emails, will incorporate this setting at a later stage. Management portal 3.4.2 23 October 2024 Feature added: Restore log details are now available in the management portal, making it easier for administrators to track what is being restored and by whom. Please note that this information is not accessible to distributor users Management portal 3.4.2 9 October 2024 Feature added: Users can now customize the conditions for receiving backup reports. They can choose to receive reports based on specific statuses: success, info, or warning, ensuring that notifications are sent only when these conditions are present in the backup report log. Management portal 3.4.2 26 September 2024 Feature added: Changes to the "Backup Log" have been implemented. In addition to displaying all completed jobs, the Backup Log now also shows running jobs and their current progress. The list updates every 10 minutes. With the addition of running jobs, the list is now sorted by start time rather than finish time, as before. Both the start time and finish time are shown. When a job has finished but the log entry is not yet complete, the job's state will now be displayed as "Finishing". Management portal 3.4.2 26 September 2024 Feature added: When a customer who hasn’t yet authorized their account enters the portal, they will be directed to a welcome screen, followed by a page explaining the need for a global admin to complete the authorization process and what steps to take if they don’t have these credentials. Additionally, numerous bug fixes and design changes have been implemented. Management portal 3.4.0 2 July 2024 Feature added: When creating new customers through the API, the system will no longer automatically designate the first user as the backup report recipient. This change means that the backup report recipient must now be added to users at a later stage. If no recipient is designated, backup reports will not be sent by default. Management portal 3.4.0 19 June 2024 Feature added: New feature added for sending an updated user list to a designated email address. This list includes all mailboxes stored in our backups and provides the latest backup times for Exchange, OneDrive, Personal SharePoint, and Exchange Archive associated with each user. Management portal 3.4.0 19 June 2024 Feature added: A new "Settings" tab has been introduced on the customer page. This tab is dedicated to managing RBAC (Role-Based Access Control), Self-Service options, and settings for the new user report email (see next post for details). Management portal 3.3.1 10 April 2024 Feature added: The "Accounts in backup" tab has been enhanced with a new "Type" column, indicating whether an account is classified as a user or shared mailbox. This column is refreshed nightly following a backup operation that includes the respective account. It's important to note that excluding an account from backup will maintain its type status, effectively "freezing" it. Consequently, any updates made in the customer's tenant will not reflect in the portal unless the account undergoes another backup process. Management portal 3.3.1 3 April 2024 Feature added: Creating new users on the customer page has been redesigned. In the new dialogue pop-up it is now possbile to state if the user has restore rights or not. The inclusion of a name is optional, but if left unset, it will be obtained from Microsoft upon the user's initial login. Management portal 3.3.1 27 February 2024 Feature added: Deleted backup jobs are now displayed beneath the active jobs, clearly marked as deleted. This enhancement is implemented for compliance purposes and to simplify the identification of previous jobs. This adjustment also covers jobs that were deleted starting from January 2021. Management portal 3.3.1 27 February 2024 Feature added: Introducing Retention periods of 2, 7, and 25 years, implemented to comply with regulations in certain countries that permit maximum retention periods of 2 and 7 years. Management portal 3.2.2 2 February 2024 Feature added: Today, has been expanded our locations by introducing Madrid, Spain as a new data center location. This facility stands out as the site is fully powered by 100% renewable energy. A new small green leaf icon will be displayed next to the location, indicating a cleaner, more environmentally-friendly choice. Management portal 3.2.2 30 December 2023 Feature added: The "Email in Backup" tab has been updated to "Accounts in Backup," displaying both active and inactive accounts within the backup repository. Additionally, it now provides the date of the most recent backup for Exchange, OneDrive, Personal SharePoint, and Exchange Archive data for each account. Furthermore, when you download the CSV file, it will display the exact time of the last backup in the UTC timezone. Management portal 3.2.2 15 December 2023 Feature added: The backup jobs on the front page now always displays as a list of jobs. Previously if 4 or less jobs were present a 2x2 box system was displayed. Additionally, data restoration is no longer possible for deleted accounts. However, a seven to ten day grace period is in place to allow for account reactivation through the management portal or distributor portal in case of erroneous deletion. During this grace period, all backup jobs will continue to function. Feature Old behavior New behavior Billing cessation After 7 days Same day Data restoration Possible No longer possible Grace period for reactivation 7 days 7-10 days Backup job status during grace period Functional Functional Management portal 3.1.2 9 September 2023 Feature added: The global admin user, initially used for tenant onboarding, is now concealed from users who are not administrators or resellers. Management portal 3.1.0 31 May 2023 Feature added: It is now possible to add specific SharePoint sites to the exclusion list of a backup job. Management portal 3.1.0 10 May 2023 Feature added: Introducing a new and highly user-friendly "end-user self-service restore" feature to all customers. With this feature, employees can access their own Emails and OneDrive backup-data and restore them without having to involve the IT department. To enable this, an admin user must turn on the feature as it is not enabled by default. Feature added: The tab that was formerly known as "Users/notifications" has now been renamed to "Users/Settings,". Management portal 3.0.8 29 April 2023 Feature added: It is now possible to see when the Email and OneDrive was last backed up under the "Emails in backup" -tab. Feature added: In addition, it is also possible to view if the email has an Exchange Archive that is being backup up, under the "Emails in backup" -tab. Management portal 3.0.7 07 December 2022 Feature added: Resellers can now select the licenses type "Commercial" or "Educational" upon creation of the customer. Overview has been updated to display both license types. Management portal 3.0.6 13 November 2022 Feature added: Customers can now find an overview of the restore log inside the management portal. Exporting the log or viewing the details of the actual restore still requires restore permissions and can only be done in the restore portal. This addition is intended for management personal to audit whether a new restore has been processed. This is also the first time a submenu function is introduced in the main menu. Management portal 3.0.5 12 November 2022 Feature added: Resellers can now see all their customers backup logs in one place by selecting the new "Customer backup logs" tab. The date filter must be filled out to see the list for a specific date. This will also make it easier when reviewing logs for instance once a day. At the moment the backup logs are grouped by customer but it is currently not possible to sort alphabetically should that request arise. 11 November 2022 Feature added: When a reseller has added a custom logo URL on their settings page, this logo is now shown on the resellers start page. Until now the logo was only shown on the customer page. And on the customer page, the distributor logo is now hidden and the custom logo is displayed in its place. And lastly the custom logo has been slightly enlarged. 6 November 2022 Feature added: The user page has been completely redesigned. Notification users have been removed end merged into the new user list. Clicking on a user in the list will bring up the preferences and role for the selected user. It is now possible for each user to have individuel settings for backup reports. For instance one user could get all reports and another user only when warnings is present. Also each user can decide if they want the report embedded as HTML or as an attached file (useful for very large reports). Prior to this change these settings were customer wide for all users. Please remember that only admin users (and reseller users) can change access roles. As a result of this change, the "Email status" found on the details of each log, will now just show "Backup Log Report email processed: [CurrentTime]". Feature added: Administrators can now assign restore roles based on types of data. When a user has the restore role assigned, it can be further narrowed down to just "Mailbox", "OneDrive", "SharePoint" or "Teams", or any combination of them all. For instance a restore user may only be able to restore mailboxes but not SharePoint data etc. All current restore users have been assigned all types leaving their using as it was before being able to restore everything. However all new restore users will only have Mailbox and OneDrive turned on as default. SharePoint and Teams must be assigned in addition to this. Management portal 3.0.4 24 October 2022 Feature added: A new access role system has been enabled today with sliding on/off button on the "users" page. The button is green for "Yes" and light grey for "No" access. The system has 3 roles: Admin Manage Restore Only users with Admin role can add, change or delete users. When inviting a user while creating a new customer this user will automatically get the admin role assigned. Some customers do not have any admin users enabled. In these cases only the reseller, distributor or our support can add a new Admin user for the customer. All changes to users is logged in the "Activity log" that is shown on the customer page. Users with the "Manage" role can still add and change users in the report and notifications area. Users logged in as resellers or distributors automatically have admin rights to the customers in their list. Admin users can remove themselves as Admin and in that case they are immediately downgraded to the "Manage" role. The system is the first part of a larger role management system that will be introduced later this year. Management portal 3.0.3 22 October 2022 Feature added: Customers can now see a line-chart showing the license count history since their first backup. The chart is found under "Licenses in use" and then on the button "License statistics" 19 October 2022 Since almost all our customers have 4 or less backup jobs, the management portal have been changed to show the first 4 jobs in boxes side-by-side rather than in a list. Customers with 5+ backup jobs may find the remaining jobs in the list below. Management portal 3.0.2 30 August 2022 Customers with Basic or Modern authenticated tenants will no longer be able to create new jobs until they upgrade to Device Code. Upgrade to Device Code can be done in the portal and is only visible for affected customers. Feature added: It is now possible to create a SharePoint job without including the Personal SharePoint Sites. This feature has been added to accommodate customers that are backing up specific groups of users instead of the entire organization. Setting up the SharePoint job would result in counting all the users making the license count be higher than the customer expects. Please note, this feature is a manual process for us. When a customer creates such a job, the job will be disabled after which our support manually removes the personal sites ID from the job and enables and starts the job. A warning message that the job may be up to 72 hours delayed on the first run is displayed to the customer. If the customer at a later stage decides to add the Personal Sites again they can do that by inspecting the job and removing the exclusion. 12 July 2022 Feature added: When creating backup jobs, the dialogue boxes (Entire and Group respectively) have been redesigned to make it easier to select job type, start time and retention. The dialogue boxes is now also aware which types the customer is authenticated for and what retention periods is available for the specific customer. 11 July 2022 Feature added: Clicking on the magnifying glass on a job will now show some additional details about the status of the job. The extra info, which is calculated upon requesting the page, are: • The total amount of objects to be processed. • The current amount of processed objects. • The qty. of items that has been transferred. • The total MB/GB transferred. This is especially useful for the first jobrun that sometimes may take many days to process depending of the size of the job. Note: the "current processed objects" count will only show for jobs that has less that 10.000 objects. Note: Only jobs that are running will show "The current amount of processed objects." 29 June 2022 Feature added: Resellers can now add their own logo to the customer page, which will be shown centered at the top of the screen. The setting is found in the 'reseller settings menu'. The file must be located at a fully qualified URL where the file can be read at all times since it is not cached or stored. We accept JPG, JPEG and PNG filetypes and the image will be resized automatically. 28 June 2022 Feature added: It is now possible to filter the group list when adding exclusions to a backup job. 22 June 2022 Feature added: We have begun the journey towards more simple backup reports especially when "Warning", "Info" and "Error" are present in the report. A number of improvements is on the way. However, the first change is that "Warning" and "Error" messages will now be combined to a single status: "Warning". From this time on we will only have "Success", "Info" and "Warning". The change is made because it can be hard to distinguish between "Error" and "Warning". In the backup reports, which are sent to customers, we know have begun the process of adding our own error codes and adding a clickable link to direct the user to the specific knowledge base article regarding that specific warning. The goal is to quickly help the end-customer or reseller determine the error and is presented with the solution. Example link: https://link.revirt.global/KB1004 16 June 2022 Feature added: Resellers now use the same layout theme as on the customer page. If you are a new reseller, you’ll be reminded to fill in info of what you customers will see with in the portal – you are able to adjust name of portal, support email and much more. Go to your reseller page to customize to your preference. 6 June 2022 Feature added: When selecting a user to be permanently deleted from backups, i.g. for GDPR reasons etc., you can now echedule the date of deletion. The company is legally required to keep the data for a certain period. The actual deletion will take place within 3 days after the selected date. Also, it is not possible to select a date within 3 days of the current date. 24 May 2022 Feature added: The "Backup job logs" tab has been simplified and now features a list of all the backup sessions in descending order of dates. Clicking on the magnifying glass will show the details of the backup session. It is possbile to filter on a specific date. Please, note that the details of a backup session is processed separately from the entry in the list. Backup jobs, which have finished recently will be shown in the list before the details are ready. These jobs will have a "pending" sign next to them and the magnifying glass will not be visible. Management portal 3.0 10 May 2022 Feature added: New design for the customer section of the the management portal was released. Feature added: It is now possible to export the "items list" as a CSV. Management portal 2.4.4 21 April 2022 Feature added: Arrow customers will now be notified every day if they are consuming more licenses than they have purchased in Arrowsphere. An email will be sent once each day until the issue has been resolved. The email will include the name of the reseller. The customer can change who gets these notifications in the user list in the Management Portal. In addition, a daily email will be sent to resellers if they have 1 or more customers who have overconsumed. The email will contain a list of customers, the purchased quantity and the consumed quantity with a link to Arrowspehere. Note: We have adjusted the above function to not send emails on weekends. 13 April 2022 Feature added: You can now choose whether the email backup report should be attached as a file instead of embedded in the email. This can be very useful if the backup reports is very long. The setting is found under the list of backup report emails. 4 April 2022 Feature added: The "Log" and "Users" buttons normally found in the blue button bar has been moved to separate tabs and renamed "Activity log" and "Users / Emails". The change is the first move against removing the blue left column entirely on the customer page. 2 April 2022 Feature added: On the backup log page it is now possible to filter the job list to show "Active jobs" or "Deleted jobs". Default it is set to "Active jobs". This is useful for customers that have backup jobs that have been deleted. Jobs move from Active to Deleted after 7 days of deleting the job. 30 March 2022 Feature added: Selecting the date for displaying of backup logs now uses the date of completion of the job and not the start date of the job. This has been changed in order to remove confusions when the backup report is emailed on one date (date of completion) and the job started at an earlier date. Fixed: Selecting a date in the job report log now also automatically selects the first time available in the dropdown menu (and in most cases the only time). Before the time selected from the previous selected date was still displayed when changing the date and that could lead to confusion. Feature added: A new "Backup reports and service notifications" area that stores information regarding, which emails we send backup reports and other notifications to - for instance overconsumption warnings etc. It is now possible to have an unlimited number of emails to receive backup reports and notifications. For each email added it is possible to choose whether they should receive either backup reports or notifications - or both. That also means that the 3 report emails usually found on the front of the customer page is moved to the new area found by clicking the "Users / Emails" button in the main menu. When inviting a new customer to our backup service the email that is invited is automatically added as "notifications" and "report" email. Management portal 2.4.3 23 February 2022 Feature added: On the job detail page, it is now possible to add "Distribution", "Security" and/or "Office 365" groups to be excluded from a backup job. All users within such a group including their OneDrive and SharePoint sites will be skipped when running the job. All excluded groups is now displayed in a separate list under the groups that is included. It is also possible to remove groups from the excluded list including groups added by us manually prior to this change. Management portal 2.4.2 19 February 2022 Feature added: On the job detail page, it is now possible to see excluded objects from backup jobs. 4 February 2022 For resellers it is now possible to create free trials directly in the portal without running through a demo distributor or demo reseller. In the "Add new customer" dialogue box it is possible to enable 30-day trial for the customer. There is no limit of usage for trials, however, we do monitor for abuse. 5 days before a trial ends, the user who created the trial will be notified via email. In the customer list it is now clearly marked, which customers are trials and when they expire. Converting the trial to paid is easily done by using the new button "Convert to paid account" on the customer page. Billing will start from that day regardless of how many days are left of the trial. This change marks the end of demo resellers and demo distributors. From this point on, customers created in a demo reseller will not be able to be converted to a paid account and must be set up again in the paid system. This does not include trials already created prior to this announcement. Resellers with demo resellers will soon be notified and the demo reseller deleted. Trials is automatically deleted when the trial ends with no further warnings. Management portal 2.4.1 4 February 2022 Feature added: Disabling of backup jobs is no longer possible. Jobs must run or be deleted. If customers need to have a job disabled they may contact support in order to do so. 14 Janurary 2022 Feature added: New designs for Distributor, Reseller and Customer portals was deployed. Please let us now if you experience problems with these changes. Fixed: Crushed a bug that sometimes would show the wrong date in the "last backup" field on the licensed users tab. This would also sometimes result in the affected users would stay in ITP forever when they first entered that state. 25 December 2021 Feature added: On the "licenses in use" tab it is now possbile to find the first time and the last time, a user was in a backup job. Please note that users before 1/1/2021 will show a "< 2021". 22 December 2021 Feature added: When creating an entire Exchange job for the first time the backup starts automatically. The rest of the jobs will still start based on their schedule. After the Exchange has finished running the first time it will resume to the regular schedule. The reason for this is to give the Exchange job a head start since the first full backup job always takes a long time and will complete faster without "competing" with the other jobs. 7 December 2021 Feature added: Redesigned the "add customer" window in order to accommodate the new Fast Track function. Also added a couple of "help" boxes explaining Fast Track and email invitations. If you think "help" boxes could be helpful in other places please let us know with specific locations. Management portal - 2.4.0 7 December 2021 Feature added: "Fast Track". Fast Track is for resellers who are providing a fully managed solution to their customers. When adding a customer to the portal with fast track enabled, the customer will receive an invitation and a link in order to authenticate with their Microsoft Global Admin user. They will go straight to the authentication page and once authenticated they will just see a "thank you" page. At this point they can close the window and forget. After a short while, all 4 backup jobs (Exchange, SharePoint, OneDrive and Teams) will automatically be created and scheduled. The customers is also added to the report email. No further action is required on the reseller or customer's part. In the resellers customer list it is clearly marked that it is a fast track customer that is awaiting authentications from the customer. This will disappear when the customer authenticates. See how it works as partner: https://youtu.be/jNYSBB-pQJg See how it works as end-customer: https://youtu.be/oNRJCrcTVgQ 11 November 2021 Getting ready to introduce the new "Fast Track" experience (TBA) it was necessary to completely redesign the process of selecting country and authorizing with Device Code. The process is now simpler too. 26 October 2021 Feature added: For users, which are added to more than one customer/reseller/distributor, the process for entering the portal has been simplified. Users who are connected with just 1 customer, reseller or distributor now goes directly to that page without the selecting list. For users who are connected with multiple customers will display a list from which the customer is chosen. Users who are found in multiple customers, reseller and distributors will now experience a pre-selection of what kind of role they enter as (Customer or Reseller or Distributor). Management portal - 2.3.5 25 October 2021 Feature removed: "Denmark" will no longer be offered to new customers. We recommend Germany for all nordic countries. Feature added: It no longer required to choose data location when creating a customer. The data location is now added when the customer adds the tenant information. Default is Germany but can be changed to any of our 15 datacenter locations.
